1. Who we are
Japan Care Concierge ("the Service") is a consultation and coordination service operated with the care-service experience of Social Welfare Corporation Shinkou Fukushikai ("the Corporation"), based in Kanagawa, Japan. We comply with Japan's Act on the Protection of Personal Information (APPI), related guidelines for care and medical providers, and the Corporation's privacy commitments.
2. Information we collect
Through inquiries, consultations, and ongoing support, we may receive:
- Names, email addresses, phone numbers, and other contact details
- Information about family structure, roles, and contact arrangements, including family members living outside Japan
- Location in Japan and living situation
- Consultation details about care, medical, and life coordination needs
- Information collected automatically when you browse this website (cookies, access logs)
Information about health conditions or care status may qualify as "special care-required personal information" under the APPI. We collect such information only with the consent of the individual or their family, and use it only to the extent needed to respond to the consultation and coordinate support.
Our contact forms work by opening an email draft in your own mail app; what you enter reaches us as an email message.
3. How we use information
- Responding to inquiries and preparing the initial consultation
- Carrying out and coordinating requested support, including preparing communication with medical institutions, care providers, and municipal offices
- Reporting and updates to family members abroad, based on the individual's consent
- Improving service operations and understanding site usage
- Complying with legal obligations
4. Sharing with third parties
We do not provide personal information to third parties without consent, except where required by law or where necessary to protect a person's life, safety, or property. When support requires sharing information with a medical institution or care provider, we explain in advance what will be shared and with whom, and proceed only after you agree.
5. Service providers
We may entrust limited personal information handling to external service providers needed to operate this Service, such as website hosting, email, and access analytics. We select these providers carefully and supervise them appropriately so your information stays protected.
6. International data transfers
This Service exists to support families living outside Japan, so personal information may be handled across borders in the following cases:
- With the individual's consent, we send reports and updates to family members living abroad
- External services we use (hosting, email, analytics) may store or process data on servers located outside Japan, including in the United States
When selecting external services, we consider the data protection regimes of the countries involved and choose providers that maintain appropriate safeguards.
7. Cookies and analytics
This site uses Google Analytics to understand how the site is used and to improve it. Google Analytics uses cookies to collect browsing information; this information does not directly identify you by name. If you prefer not to be included, you can disable cookies in your browser or use Google's opt-out tools.
8. Security
To prevent leakage, loss, or damage of personal information, we maintain:
- Internal rules for handling personal information, with clear responsibility
- Limited, trained staff access to personal information
- Technical safeguards such as encrypted communication and access controls
- Awareness of the legal environment of any country where personal information is handled
If a data breach occurs, we will report it to Japan's Personal Information Protection Commission and notify affected individuals as required by law.
9. Your rights
You (or your authorized representative) may request disclosure, correction, addition, deletion, or suspension of use of your personal information. After verifying identity, we will respond promptly in accordance with the APPI. Please use the contact below.
10. Complaints and contact
Questions or complaints about how we handle personal information can be sent to [email protected] or through the contact page. Depending on the matter, we coordinate with the personal information consultation desk at the Corporation's headquarters. Please avoid including detailed sensitive information in your first message.
11. Changes to this policy
We may revise this policy to reflect legal changes or changes to the Service. Significant changes will be announced on this page. If there is any inconsistency between the Japanese and English versions of this policy, the Japanese version prevails.
